Gmail integration

Use Gmail messages and threads in Fortiana to answer questions about customer requests, approvals and follow-ups. Attached files are optional.

What is Gmail?

Gmail is Google’s email service for personal and business communication. It combines inboxes and conversation threads with search, drafting, replies, and connections to other Google Workspace tools used in daily work.

How it works with Fortiana

A customer request can evolve across several replies: a revised date, a new condition or a promise to follow up. Gmail brings that correspondence into Fortiana. Messages, metadata and conversation threads provide the written context needed to revisit what people asked for and what they agreed.

What Fortiana can use

  • Messages
  • Message metadata
  • Conversation threads

Optional: Files attached to messages.

Not included: Google Calendar events.

How you can use it

For example, you can ask questions such as:

  • What did the customer ask us to change?
Use the relevant thread to trace the request, surrounding context, and any follow-up that shaped the eventual decision.
  • Was the revised date ever approved?
Look for an explicit reply or agreement after the date was proposed, and keep unresolved exchanges separate from approval.
  • Which promise is still open?
Compare commitments across the conversation so an unanswered follow-up is not mistaken for a completed agreement.

Before you connect

  • Identify the accounts. List the Gmail accounts and correspondence needed for the first connection.
  • Confirm the access owner. Identify who can review authorization requirements and the intended email scope before rollout.
  • Review attachment needs. Note which questions require attached documents and confirm whether those files can be included.
